Order deadlines for exhibitors

We want to make sure that your participation as an IDS exhibitor is stress free. In addition we want to and make it easier for you to prepare for the trade fair. The following check list will provide you with an overview of all the things that you should consider and it includes important deadlines. This way, you will have all the important dates at a glance.

  • You can find the right contact person to answer your questions with one click
  • You can import the most important dates directly into your calendar software (e.g. Outlook) using iCalendar
  • Show or hide deadlines, important information and start dates for organizing your trade fair participation

  • Stand space

    Mailing of stand space confirmations

    01.06.2022 | 8:00 AM

    Starting about June 2022 stand confirmations are sent out. The participation contract takes effect with stand confirmation. The stand area confirmation includes dimensioned stand sketches and site maps as attachments.

    Mailing of participation invoice

    You will receive the invoice for the participation fee including stand area rental, starting around October 2022. Invoice amounts are payable immediately upon receipt of the invoice.

    For co-exhibitor application please click here.

    *Co-exhibitors are companies that are represented at the trade fair with their own products and their own personnel but use the stand area of a main exhibitor. Companies within a corporate group and subsidiaries count as co-exhibitors.

    Editorial and advertising deadline for the Media services

    All main exhibitors, co-exhibitors and all additionally represented companies are obliged to order the Media services (Marketing Package), which includes an entry in the printed catalogue. A fee is charged for this service. Please make a note of the deadline for providing editorial content.

    Tuesday, 21 March 2023 07:00 a.m. - 6 p.m.

    Dismantling may begin not earlier than 06:00 p.m. on Saturday, 18 March 2023. Clearing the trade fair stand before the official end of the event represents a serious breach of the Conditions of Participation. In the event of any violation of this condition Koelnmesse reserves the right to exclude the exhibitor from subsequent events.

  • Invoice

    Mailing final invoice for services

    Koelnmesse GmbH is entitled to collect an adequate down payment for the services provided at an event – e.g. electricity and water supplies, media services etc. The amount of the down payment for services is based on the services invoiced at the previous event. For exhibitors that did not take part in the previous event, the down payment amounts to 36,50 EUR / sqm. Following the event, a separate invoice will be drawn up for the services provided; the down payment will be credited to this amount. Invoice amounts are payable immediately upon receipt. If the down payment exceeds the amount charged for services provided, the excess amount will be paid back to the exhibitor. Exhibitors are not entitled to have interest paid on their down payment.
